Recruiting: from search criteria to candidate recommendations

Mapping recruitment workflows and designing AI collaboration around shared project context to reduce repeated explanations of hiring criteria and disconnected analysis.

Project started ·
Project objective
Keep requirements, candidate decisions and client feedback useful throughout recruiting delivery
My responsibility
Map recruiting workflows, AI capabilities and human review boundaries
Core deliverables
Business workflows, nine task capabilities and a shared project dossier design

The problem and why it matters

Recruiting delivery spans client communication, candidate sourcing, recommendations, interviews and onboarding. Project leads need to understand who the client really needs, communicate criteria to delivery consultants and adjust the search based on feedback.

Communicating criteria
Hiring requirements and client preferences need repeated explanation, and background must be assembled again before analyzing a resume.
Continuity of judgement
As candidates and feedback accumulate, previous decisions need to remain associated with specific roles and people.
Task handoffs
Even when AI assists analysis, the lead still moves materials, initiates tasks and arranges the next step.

This affects how leads spend their time and whether the team can deliver consistently against shared criteria. The design therefore addresses analytical capabilities, project materials and human review responsibilities together.

Delivery and validation scope

DeliverableWhat existing materials coverBusiness decision supported

AI task capabilitiesInputs, outputs and review boundaries for nine core tasksKeep analysis centered on specific hiring tasks
Shared project dossier designRelationships between clients, roles, candidates, recommendations and feedbackRetain current requirements and previous decisions

The current deliverables mainly cover workflow analysis, capability definitions and platform design. The complete proactive handoff mechanism still needs validation in real projects, and existing materials do not support a verifiable sustained efficiency figure.

My scope of work

  • Mapped requirements research, client communication, resume evaluation, recommendations, interviews and onboarding.
  • Defined nine capabilities: requirements research, interview preparation, meeting notes, client dossiers, search criteria, resume evaluation, recommendation materials, interview reports and retrospectives.
  • Organized shared project dossiers and relationships between business objects, specifying the materials needed for analysis.
  • Separated AI assistance from human judgement, retaining lead responsibility for requirements confirmation and recommendation review.

Delivery consultants remain responsible for sourcing and submitting candidates, offer communication and onboarding follow-up. Project leads review recommendations and communicate with clients. Interview recordings may support report preparation; leads are not responsible for accompanying interviews.

Deliverables and key decisions

A recruiting workflow with explicit handoffs

Place business activities and participants in one process, then define the materials required at each step and who receives the output. This creates a shared basis for task capabilities and platform design.

  1. Confirm requirementsProject lead and client
  2. Define search criteriaRequirements and meeting materials
  3. Source and submitDelivery consultant
  4. Analyze and reviewAI assists; the lead decides
  5. Recommend and gather feedbackLead communicates with the client

The process above describes business handoffs. AI integration scope depends on actual validation.

A project dossier that supports decisions

Connect client background, current sourcing instructions, candidate analysis, recommendation status and feedback. Analysis uses consistent criteria, and feedback returns to the relevant role and candidate.

For example, rejecting a candidate may concern only that person or may imply a change in search direction. The design first retains the feedback's subject and reason, then leaves its scope to the lead's judgement.

Capability responsibilities with review and follow-up

Each capability specifies its inputs, outputs and reviewer. The next-stage design starts analysis from consultant submissions, requests missing information, routes complete materials to the lead and then incorporates client feedback. The complete mechanism remains to be validated.

What this project demonstrates

The ability to break down work around actual roles, define AI tasks and human decision boundaries, and organize scattered materials into shared business context.

This suits teams with useful analytical capabilities whose criteria and handoffs still rely on people's memory. Current materials demonstrate workflow and solution design; actual time and rework savings still need project records.
